Privacy Policy

This Policy explains how Employ Directly handles personal information when you browse, register, create a profile or job, apply, communicate, or use another service feature.

Effective date: 26 September 2026 · Version 2026-09-26

1. Who is responsible

EmployDirectly, the operator of employdirectly.com, is responsible for personal information processed through the service.

This Policy applies to Employ Directly's website, accounts, profiles, listings, applications, messages, and related features.

It does not govern third-party websites or services that have their own privacy notices.

2. Information we collect

The information we collect depends on how you use Employ Directly and what you choose to provide.

Account and contact information

We collect your email address, account type, display name, password hash, account status, and account timestamps.

Jobseeker profile information

This may include your name, headline, biography, city or region, country, time zone, date of birth, age, gender or gender description, availability, work schedule, languages, contact details, compensation preferences, desired hours, education, skills, experience, portfolio links, profile photo, and information you provide about your work preferences.

Date of birth and gender are not shown on a public profile.

We use date of birth for age-based eligibility and profile purposes.

We do not independently verify every date of birth.

Employer, job, and hiring information

For employers, we process workspace and membership information, organization details, job listings, role requirements, hiring activity, and account communications.

Applications and communications

We process applications, cover notes, screening questions and answers, application status, saved items, messages, offers, and related dates and events.

Information you send to another user is available to that user and may be kept in their records even if you later close your account.

Billing, safety, and technical information

If a paid feature is available, we process plan, checkout, subscription, payment status, transaction identifiers, and billing contact information.

Payment card details are submitted to the checkout provider rather than entered into an Employ Directly payment form.

We also process session and security records, source IP address, device or browser signals supplied with a request, support requests, reports, moderation and audit records, and service diagnostic information.

Information from others

We may receive information about you from another user who contacts you, refers to you in a report, or submits an application or hiring record involving you.

We may also receive payment or subscription updates from our billing provider and publicly available information that a user adds to a profile or job listing.

3. How and why we use information

We use personal information for the purposes below and rely on the lawful basis that applies to the relevant information and processing.

  • Provide the service. Create and secure accounts, display selected profiles and jobs, deliver applications and messages, operate workspaces, and provide features you request.
  • Connect users for hiring. Search and match jobseekers and roles, route applications to the relevant employer, and support direct communication.
  • Process payments. Start checkout, manage subscriptions, confirm plan access, handle billing support, and maintain accounting records.
  • Protect the service and users. Prevent fraud and abuse, enforce our Terms, investigate reports, secure accounts, resolve disputes, and maintain reliable operations.
  • Meet legal duties. Respond to valid legal requests and meet applicable recordkeeping, regulatory, and safety requirements.
  • Improve the service. Diagnose errors, understand service performance, and develop or maintain features using operational information.

Depending on the purpose, our lawful basis may be taking steps at your request or performing our agreement with you, your consent, compliance with a legal obligation, protection of vital interests, performance of a public function where applicable, or our legitimate interests in operating a safe hiring marketplace.

Where we rely on consent, you may withdraw it for future processing, subject to legal or operational limits.

Where information is sensitive personal information, we process it only where permitted by law, including where your informed consent or another applicable legal exception supports the processing.

4. Who can see your information

Public job listings, employer information designated for publication, and jobseeker profile fields you choose to make discoverable may be visible to anyone, including people who do not have an account.

Public content may be copied, indexed, cached, or retained by search engines and other people outside our control.

Contact details, date of birth, gender, private messages, and applications are not public profile fields.

When you apply for a job, the employer and authorized workspace members can see the application information needed to review and respond to it.

The employer determines its own hiring purposes and is responsible for its use of applicant information under its own privacy practices and legal obligations.

When you message another user, that user can see the message and related information needed to display the conversation.

Our authorized staff and moderators may access information when needed for support, security, legal compliance, or a reported issue.

We do not sell personal information or use it to serve third-party behavioral advertising.

5. AI-assisted assessments

An employer may enable an advisory AI compatibility assessment for a job.

Before you submit an application for that job, we show a separate notice and record your acceptance of the notice version.

The assessment compares job title, description, employment type, seniority, language requirements, and required skills with your cover note, declared skills and ratings, education level and field, work-history titles, dates and descriptions, and screening questions and answers.

We do not add your identity or contact fields, education institution or employer names, portfolio links, compensation details, employer background, or internal identifiers to the assessment request.

Matching occurrences of your display name in candidate evidence are replaced with “the candidate”.

Other permitted free-text content is sent as written, so remove information you do not want included before submitting.

The request is sent through OpenRouter to the configured model and the provider that processes that request.

Provider logging, retention, and model-training practices can depend on the selected model provider and its terms.

Employ Directly cannot control all provider-side practices, so do not submit information you are not authorized to share or that you need to keep confidential.

The assessment produces a compatibility score, a match or no-match result, strengths, gaps, and an explanation based on the supplied evidence and role requirements.

The assessment is advisory and does not make an employment decision.

The employer remains responsible for reviewing the application, evaluating the result, and making the hiring decision.

6. Service providers and disclosures

We share information only as needed for the purposes in this Policy, under your instructions, or as permitted or required by law.

  • Other users and the public. We make public listings and discoverable profile fields available according to your choices, and send applications or messages to their intended recipients.
  • Hosting, security, and storage providers. Our service uses hosting and infrastructure providers, Cloudflare for network delivery and object storage, and email delivery providers.
  • Search and operations providers. We use internal search infrastructure and may use monitoring or technical operations providers to maintain service reliability.
  • AI providers. For an AI-enabled application, we share only the application evidence described in the notice with OpenRouter and the model provider processing that request.
  • Billing providers. When paid features are enabled, Creem or the checkout provider shown to you processes checkout and subscription information.
  • Authorities and professional advisers. We may disclose relevant information to comply with law, protect people or rights, investigate abuse, or obtain legal, accounting, or security advice.

Our service providers may process information for us under contractual and security obligations.

They may also process information under their own notices when you use a service they provide directly, such as a hosted checkout.

7. International processing

Employ Directly serves users in different locations.

We and our service providers may store or process information in jurisdictions where our infrastructure or providers operate.

Those jurisdictions may have data-protection rules different from the rules where you live.

Where required, we use appropriate contractual, organizational, or other safeguards for cross-border processing and remain responsible for processing carried out on our behalf.

8. Cookies and device storage

We use essential browser storage to keep you signed in, protect forms against cross-site request forgery, remember limited interface preferences, and support core site features.

Interface preferences may also be stored in your browser's local storage.

We use Google Analytics to understand site usage, including page visits, navigation, device and browser information, and referral sources.

Google Analytics uses cookies to distinguish visits and measure engagement. We disable Google signals and advertising personalization in our site configuration.

Learn more about how Google uses information from sites that use its services and the Google Analytics opt-out browser add-on.

These technologies are not used by us to follow you across unrelated websites for advertising.

You can block or clear cookies in your browser, but sign-in and some site features may stop working.

9. Retention and security

We keep personal information only for as long as it is needed for the purpose it was collected, to provide the service, to maintain safety and security, to resolve disputes, or to meet legal obligations.

Account and profile information is kept while your account is active and for a reasonable period after closure to handle requests, disputes, safety issues, and legal obligations.

Application, message, and moderation records are kept while needed to support the hiring relationship, investigate reports, preserve evidence of platform activity, or meet legal obligations.

Billing and transaction records are kept for the recordkeeping period required by applicable tax, accounting, and financial laws.

Security and audit records are kept for as long as reasonably necessary to investigate incidents, protect the service, and demonstrate compliance.

Backups are retained for recovery and are overwritten under our backup cycle.

Closing an account disables sign-in and replaces its email address with an internal non-delivery address.

Profile information you made discoverable may remain publicly available after account closure until it is removed.

You may request removal by contacting us, subject to information we need to retain for hiring history, safety, dispute resolution, or legal obligations.

Copies of public profile photos may remain in caches for up to 30 days, and public information may remain in third-party search indexes or copies beyond our control.

Account closure does not automatically erase every application, message, report, billing record, or safety and audit record.

We retain records that remain necessary for hiring history, safety, dispute resolution, legal claims, accounting, or legal obligations and restrict their use to those purposes.

When information is no longer needed, we delete, anonymize, or securely dispose of it, unless the law allows or requires us to retain it.

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, and alteration.

No internet service or storage system can be guaranteed to be completely secure.

If a personal data breach occurs, we will notify affected people and regulators when and as required by applicable law.

10. Your rights and privacy requests

Depending on applicable law, you may have the right to be informed, access your information, correct inaccurate information, object to or restrict certain processing, withdraw consent, request erasure or blocking, receive a portable copy, and seek damages or lodge a complaint.

Tell us what you are requesting and which account or information it concerns.

We may ask for reasonable information to verify your identity and protect another person's information.

We will respond within the period required by applicable law.

Some requests may be limited where we have a lawful reason to retain or process information, including to comply with law, protect safety, prevent fraud, or establish or defend legal claims.

You may also contact the privacy or data-protection authority with jurisdiction over you if you believe your rights have been violated.

11. Children and age requirement

Employ Directly is for people who are at least 18 years old.

We do not knowingly allow anyone under 18 to create or use an account.

We will take appropriate steps to restrict the account and delete information that we are not legally required to retain.

12. Changes

We may update this Policy when our practices or legal requirements change.

We will post the updated version and revise its effective date.

For material changes, we will provide reasonable notice through the service or by email where practical.
